Don’t assume anything. Just because you arranged for something, doesn’t mean it will happen. Confirm it in writing, get an acknowledgement via email and confirm it again the week and the day before the event. Yes it is more work, but it is less work than freaking out the day of your event, because your vendor didn’t show, or brought the wrong items.
